Booking Confirmation & Trip Agreement

Your journey with All Round Trip Nepal Treks is officially confirmed once we receive your deposit and send you a written booking confirmation. This confirmation serves as a formal agreement between you and our company.

We kindly request that you carefully review all details in the confirmation, including trip dates, itinerary, personal information, and services included. If you notice any errors, omissions, or discrepancies, please inform us immediately so we can correct them promptly. Clear communication at this stage helps ensure a smooth and enjoyable travel experience.


Payment Policy

To reserve your trip, a 10% deposit of the total trip cost is required at the time of booking. This deposit allows us to secure necessary permits, accommodations, transportation, and guide arrangements in advance.

The remaining balance can be paid upon your arrival in Kathmandu, prior to the start of your trip. For final payment, we prefer cash in any major international currency (USD, EUR, GBP, AUD, etc.), as this helps avoid additional bank processing fees.

We also accept:

  • International bank transfers
  • Credit or debit card payments

Please note that any transaction charges, bank fees, or international transfer fees are the responsibility of the client.


Changes, Postponements & Cancellations

We understand that travel plans can sometimes change. If you need to modify your booking, we ask that you notify us in writing as soon as possible—ideally at least 30 days prior to your departure date.

You may:

  • Reschedule your trip to a later date
  • Transfer your booking to another person (subject to approval and applicable adjustments)

Please note that revised dates or changes may result in price differences due to seasonal rates, permit fees, or third-party service adjustments.

Cancellation Policy

  • Cancellations must be submitted in writing (via email).
  • If cancellation is made at least 30 days before the trip, your deposit will be refunded.
  • Cancellations made within 30 days of departure will result in the loss of the deposit.

Certain special trips (such as peak-season climbs or custom expeditions) may have separate cancellation conditions, which will be clearly communicated at the time of booking.


Early Termination of Trip (Trip Curtailment)

If you choose to end your trip earlier than scheduled for personal reasons, no refunds will be issued for unused services such as accommodation, transportation, permits, guide services, or meals.

Additionally, any extra expenses incurred due to early return—such as transportation changes, flight rescheduling, or emergency arrangements—will be your responsibility.

We strongly recommend reviewing your travel insurance policy, as many comprehensive plans include coverage for trip curtailment due to illness, emergencies, or unforeseen circumstances.


Nepal Visa Requirements

Tourist visas for Nepal are available upon arrival at Tribhuvan International Airport in Kathmandu or at designated land border crossings.

Current visa fees are:

  • USD 30 for a 15-day visa
  • USD 50 for a 30-day visa
  • USD 125 for a 90-day visa

Visa fees must be paid directly at the immigration desk.

To save time upon arrival, we recommend completing the online visa application form before your departure. Please ensure:

  • Your passport is valid for at least six months from your entry date.
  • You have at least one blank page available for the visa stamp.

Visa regulations may change without notice, so we advise checking with your local Nepalese embassy or consulate before traveling.


Travel Insurance (Mandatory Recommendation)

Adventure travel in the Himalayas involves remote locations and high-altitude environments. For your safety and peace of mind, we strongly recommend comprehensive travel insurance that covers:

  • Trip cancellation and interruption
  • Emergency medical treatment
  • High-altitude evacuation (including helicopter rescue)
  • Lost or delayed baggage
  • Personal liability

If you are participating in climbing or mountaineering activities, please ensure your insurance specifically covers high-altitude trekking or mountaineering.

If you need guidance in selecting appropriate coverage, our team will be happy to assist.


Right to Refuse Service

We are committed to maintaining a safe, respectful, and enjoyable environment for all travelers and staff.

We reserve the right to withdraw services without refund if a participant engages in inappropriate or disruptive behavior, including but not limited to:

  • Physical altercations
  • Excessive alcohol consumption affecting group safety
  • Harassment or verbal abuse toward staff, guides, porters, or fellow travelers
  • Any conduct that jeopardizes the safety or well-being of others

Mutual respect is essential for a positive group experience.


Use of Photos & Media

During your journey, our team may take photographs or videos to document the experience. These images may be used for promotional purposes, including:

  • Our official website
  • Social media platforms
  • Brochures and marketing materials

If you prefer not to appear in any promotional content, please inform us in writing before the start of your trip. We will fully respect your privacy.


Acceptance of Terms

By submitting your deposit payment, you confirm that you have read, understood, and agreed to these terms and conditions.
